31 quick time management tips

In this fast paced world everyone is looking for ways to make the most of the time available to them and improve their time management, below you will find 31 suggestions that although they can’t give you more hours in a day, they could help you to feel more in control of your time.

Preparation and organisation

1.   Always work on tidy desk
2.   Be conscious of time
3.   Write a daily action list
4.   Always consider delegating – upwards, outwards and downwards
5.   Say ‘no’ to jobs that aren’t yours
6.   Be assertive
7.   Set realistic deadlines
8.   Give yourself private working time

Dealing with interruptions

9.   Work out who needs access to you at all times
10. Ask colleagues to ensure you are not interrupted at certain times and reciprocate
11. Ask the person why they have come to see you
12. Stand up when he/she comes in
13. Put up a clock where you and everyone else can see it
14. Be ruthless with time and gracious with people
15. Suggest a time that you can talk later
16. Make the conversation at the other person’s desk (easier for you to leave)
17. Develop busy body language
18. Save small talk for lunchtime


19. Be conscious of wasting other people’s time
20. Diligently plan your meetings
21. Ensure you have a clear objective and an agreed start and finish time
22. Don’t allow meetings to be interrupted

Dealing with the telephone

23. Get a colleague to field your calls or use voice mail so you can get urgent tasks done
24. Make your calls in blocks
25. Write down the points you wish to raise in the call
26. Be especially aware of time passing on the phone

Office systems

27. Finish one job before you go on to the next
28. Spend five minutes in the morning planning the day
29. Use a team mailbox
30. Handle each piece of paper only once

And finally

31. Once you have committed time to something, use that time even if the original task you had planned is cancelled

  2. HI Mike, that last one so powerful – I’ve lost count of the times I’ve had something cancelled yet I’ve wasted that that doing inconsequential things. Just because the meeting is cancelled it doesn’t mean that time is free time. Thanks for the kick up the backside!
